We have recently launched a new anti-spam filtering system - the Doteasy Email Protection System. This new anti spam service has now replaced the previous Doteasy Spam and Email Virus Protection Service.

Why is the Doteasy Email Protection System better?

The Doteasy Email Protection System is a versatile rule-based enterprise level anti-spam system. It is more flexible and scalable than the previous Doteasy Spam and Email Virus Protection Service.

One of the key features of the Doteasy Email Protection System is that it allows you the ability to allow each of your email users to set their custom spam threshold.

Powerful features include:

  • Simple-to-use - The web based interface comes in both Simplified and Advanced modes, allowing you to easily set custom filter policies and review spam quarantine.
  • Customizable - Each user quarantine account has the ability to customize their own spam threshold.
  • Flexible - In addition to black and white-list, you can set different domain, sender, host and file extensions filtering and deposition rules.
  • Reliable - The system can correctly identify and effectively block spam and emails due to virus or suspicious attachments. You can also generate interesting statistics on where spam is coming from.
  • Complete control - You control the frequency of notification emails as well as the display of your account web interface (quick-links, date format, number of spam quarantine messages displayed, message order, and much more).

If you are looking for a easy-to-use solution for anti-spam filtering and day-to-day email maintenance, then the Doteasy Email Protection System is perfect for you. The service is compatible with all Doteasy web hosting packages and is only US$6.95/month (on a 6-month billing term).

Barracuda Network released their annual spam report yesterday.

According to their study,

1) The majority of business professionals view spam email as the worst form of junk advertising - worse than postal junk mail and telemarketing calls,

worst junk advertising

2) spam email accounted for 90 to 95 percent of all email in 2007, up from an estimated five percent of email in 2001

This is interesting.

Let’s pretend this is my business card:

demo business card

Traditionally, business card is a means to show people what you have to offer. Fallen in the right hands, my business card will tell people the basic information as to the service I offer and/or the organization that I am a apart of. It’s a great way to make sure people remember who I am.

However, looking at the card in a different light, clearly plastered on my business card are three nice and easy avenues for junk advertising - telephone, postal and email spam.

As we approach the primetime shopping holiday season, we are already seeing an influx in the number of spam hitting our mailservers. Reports in the past years have showed us that spam activities are highest in the months of October to January.

Many of you may wonder why are we at Doteasy choosing a high-spam time like now to carry out our mail system upgrades. A few of you might even wonder, if the new SmartMail is so powerful as we say it is, why are you still getting more spam?

Compared to our older webmail email service, the new Doteasy Smartmail uses more powerful software and hardware. It addresses a number of great concerns our older webmail system used to have, which includes dropped emails.

The new Doteasy SmartMail handles emails more efficiently so that all emails addressed to you, legit or spam, will be delivered. This, combined with increased efforts of spammers worldwide is the reason why you are seeing more spam in your inbox.

You saw less spam on the old webmail system because they were dropped by the mailserver; the old mailservers were not designed to handle high volumes of emails. As a result, many lower priority emails were dropped and lost. It worked in our favor because most of the dropped emails were emails with a high spam score.

But with increasing spam volume circulating on the Internet, the mailservers were constantly under extreme stress and we were starting to see irreversible damages to the server hardware. We had no other options but to expedite the process of migrating all of our customers to the new Doteasy SmartMail system.

Many of you who uses webmail will notice the Doteasy Spam and Email Virus Protection service page we have posted upon webmail login. I know it might be wrong-timing on our part, but the notice is there to remind our clients that in addition to the free Content Filter and Mail Processing Rules included in your webmail service, there is another option, a more sophiscated and less-hassle anti-spam protection.

We apologize if the Doteasy Spam and Email Virus Protection notices and/or the mail system upgrade has brought about any misconceptions or misunderstandings.

One last thing that needs to be made clear: We do not sell or release your information to any third-party, company or spammers. You trusted us with your information, and we value that trust more than anything else. The focus of our business is on providing affordable, reliable and honest web hosting services to our clients. It took us seven years to gain the trust of our clients and to grow to the reputable host we are today, and we're not going to throw it all away.

spam problem

Even though it is still quite awhile until the prime-time December-shopping season, many of us have already noticed an increase in the spam in our email boxes.

How did they know my email address?

Spammers can:

  1. "harvest" email addresses from web pages,
  2. subscribe to other mailing lists to gain access to other subscribers' addresses,
  3. use programs to send spam to computer-generated email addresses. They do not need to know whether the generated address exists or not, that's what 'undeliverable' bounce-backs are for,
  4. purchase your email address from companies that specialize in #3 above.

What can I do to fight spam?

  1. The simplest way is to filter your emails. If you get spam messages from email addresses of a particular domain name or IP address, you block that domain name/IP address. If you get spam about "Viagra", you block all messages with "Viagra" in the message.

This is content filtering, which can be achieved using the mail processing rules and content filtering rules in your Doteasy webmail system.

If you are currently on the old Doteasy webmail system, contact us for a free upgrade to the new Doteasy SmartMail system. The Doteasy SmartMail system offers a very intuitive, open-ended content filtering processor that allows you to set your own filtering criteria for spam detection and email-handling.
  2. Another way to filter email is by using an anti-spam program. The Doteasy Spam & Email Virus Protection service is an optional email upgrade service that scans and filters your emails against hourly-updated spam definitions. It uses a scoring system to grade the email based on keywords and other characteristics commonly used by spammers. Emails are scanned at the server-level, prior to delivery to your inbox, and then handled based on pre-set criteria, or criteria customized by you (ie. you can further train the filters to work better for you).

The service is US$6.95/month and it includes protection for all email accounts under your domain. Note that we do offer a 30-day full money-back guarantee, that way you can test it out before you commit to the full 6-month billing term.

  3. If you prefer using a POP email client to access your emails, you may want to check out the Mozilla Thunderbird.

You can further install an anti-spam program onto your computer to help you scan emails in your POP mail client. McAfee Spam Killer is one of such programs.

Anything else I can do?

  1. I personally keep a few email addresses, and I designate a couple of them for newsletters and other online subscriptions. This way, I am not releasing my critical email addresses to people/companies I don't trust.
  2. Use an email form instead of exposing your email address on your web pages.
  3. Never respond to spam. Remember, all these spammers need is a handful of responders for their spamming activities to be worthwhile.
